Welcome to Zen~Soul Travels. By booking a trip, retreat, or using our website, you agree to the following terms and conditions. Please read them carefully.

1. General Information

Zen~Soul Travels is a nonprofit travel organization committed to providing purpose-driven travel experiences that support charitable initiatives. All trips and retreats are organized in alignment with our mission to empower individuals and uplift communities.

2. Eligibility

Participants must be at least 18 years of age. By booking a trip, you confirm that you meet the age requirement and are capable of participating in the activities offered.

3. Booking & Payment

  • Bookings are confirmed upon receipt of full payment or a non-refundable deposit (as specified per trip).

  • Full payment is typically due 30–60 days prior to the trip start date.

  • Payments can be made securely through our website or authorized payment channels.

4. Cancellations & Refunds

Participant Cancellation:

  • Cancellations made 60+ days before departure → Full refund minus non-refundable deposit.

  • Cancellations made 30–59 days before departure → 50% refund.

  • Cancellations within 30 days → No refund.

Organizer Cancellation: Zen~Soul Travels reserves the right to cancel or reschedule a trip due to unforeseen circumstances (e.g., safety concerns, insufficient participation). In such cases:

  • Participants will be offered an alternative date or a full refund.

5. Changes to Itinerary

While we make every effort to operate all trips as advertised, we reserve the right to make changes to itineraries when necessary, including adjustments due to weather, safety, or local conditions.

6. Travel Insurance

Travel insurance is highly recommended and may be required for certain trips. Participants are responsible for securing insurance coverage for trip cancellation, health emergencies, personal belongings, and other risks.

7. Health & Safety

Participants are responsible for assessing their physical ability to participate in trips and should disclose any health conditions or special needs prior to booking. Zen~Soul Travels is not liable for any health issues that arise during travel.

8. Code of Conduct

All travelers are expected to:

  • Show respect to local communities, cultures, and fellow participants.

  • Abide by the laws of the countries visited.

  • Refrain from any behavior that may harm the wellbeing of others or the mission of Zen~Soul Travels.

We reserve the right to remove participants from a trip without refund for violations of this code.

9. Liability Disclaimer

Zen~Soul Travels is not liable for:

  • Personal injury, loss, or damage during the trip.

  • Cancellations or changes due to factors beyond our control (natural disasters, political unrest, etc.).

Participation is voluntary and at your own risk.

10. Use of Photos & Testimonials

By participating in our trips, you grant permission to Zen~Soul Travels to use photographs, video, and written testimonials from the trip for promotional purposes, unless otherwise requested in writing.

11. Privacy Policy

We are committed to protecting your personal information. Your data will only be used for trip planning, communication, and marketing purposes in line with our Privacy Policy.

12. Governing Law

These terms are governed by the laws of the State of Texas, USA.
